Move In/Move Out Times:

April 28, 2026 Move in at 12:00 p.m. - 5:00 p.m. There is a reception in the Vendor Hall on April 28th at 5:30 p.m. - 7:00 p.m.

April 29, 2026 10:15 a.m. - 2:15 p.m. Conference

April 30, 2026 9:00 a.m. - 9:50 a.m. and 11:00 a.m. - 12:00 p.m. Tear Down after 12:00 p.m. but no later than 4:30 p.m.

  • Early break down penalty fee of $100.00

Security:

  • The exhibit areas will be closed during non-conference hours.

  • Hotel security will be walking through the area during non-conference hours.

  • VPPPA Region III assumes no liability for merchandise left unattended.

Additional Services: Contact the Event Coordinator listed below to enquire about shipping and storage of display items prior to the conference. The VPPPA Region III Chapter will not be responsible for any holding, shipping, or drayage fees. Packages shipped to the hotel must be labeled with the following example below:

Once registration is confirmed, you will be sent an Exhibitor form for additional items such as electrical and audiovisual. These items incur additional fees to be paid by the exhibitor to the hotel.
